Knowing how to change vehicles on the Motor Insurance Database (MID) is essential – not just for the smooth running of your business, but to stay legally compliant and avoid fines, legal trouble or your car being impounded. How to update your Motor Trade vehicles on the MID

Each insurer has their own process – some offer online portals, others ask you to request changes through us as your broker. Just select your insurer below for details. If your insurer does not provide portal access or you are having technical difficulties, you can request a change of vehicle using the form below or you can email mid@qmtcommercial.co.uk for support.

You will receive login details from your insurer within 24 hours of your policy start date, which will allow you to easily manage your Motor Trade vehicles online. Unfortunately, QMT Commercial does not have access to the insurer's Motor Insurance Database (MID) and cannot change vehicles on your behalf.

Unacceptable Vehicle List

You will receive login details from your insurer within 24 hours of your policy start date, which will allow you to easily manage your Motor Trade vehicles online. Once you receive your Motor Insurance Database (MID) link, you will have 20 minutes to activate your account.

Vehicles that can be added to your MIPD (Motor Insurance Policy Database)

  • Personally Owned Vehicles – These vehicles must be registered to the policyholder or drivers who are entitled to drive their own personal vehicles under the policy for social domestic and pleasure purposes. These vehicles must be taxed.
  • Business Vehicles – These vehicles must be registered to the Business insured.  The vehicle must be taxed.  Examples of these vehicles include company vehicles used for business purposes, such as a Recovery Truck etc.
  • Trade Plates – Any Trade Plates that are registered to the policyholder should be included on the Motor Insurance Database.

Vehicles that should not be added to your MID (Motor Insurance Database)

  • Stock Vehicles – These vehicles are passing through vehicles and should not be added to the MID.  These are untaxed vehicles and cover under your Motor Trade Policy for these vehicles is restricted to Motor Trade use only, they cannot be driven for social, domestic and pleasure purposes.
  • Customer Vehicles – Vehicles owned by the policyholders customer whilst in your possession for Motor Trade Purposes in connection with your business occupation should not be added to your MID. These are also restricted to Motor Trade use only, they cannot be driven for social, domestic and pleasure purposes.

Please note that as per DVLA expectations, vehicles registered in the motor trade should be untaxed and used on trade plates whilst in the temporary possession of the trader.  If the trader wishes to tax vehicles for personal use, then vehicles should be registered to them and taxed accordingly.  Vehicles in the trade should only be taxed at the point where they are sold to a new keeper and the new keeper details notified to DVLA. Tradex also requires the client to retain evidence in the form of emails from the DVLA for any changes made online or postal evidence for any changes not done online.

    This form is designed for customers whose insurers do not offer an MID portal for managing vehicle changes on their motor trade policies or those experiencing technical difficulties accessing their insurer's MID portal.

    If your insurer does provide a portal but you're having trouble accessing it, you can also email us at mid@qmtcommercial.co.uk and we’ll assist you in getting set up.

    Please be aware that any updates can take up to 48 hours to appear on the national database, but will take effect from the date and time of your form submission.
